Job Summary:
The Multi-Site Assistant Community Manager supports multiple properties by assisting with daily operations, resident relations, leasing, and financial management. This role helps ensure each community runs smoothly and remains fully occupied. Responsibilities include supporting marketing, maintenance coordination, vendor relations, and team development.
The Multi-Site ACM also helps manage budgets, accounts receivable/payable, and purchase orders, ensuring financial and operational consistency across sites. Working closely with Community Managers, this role supports compliance, occupancy goals, and resident satisfaction while delivering reliable, friendly service to residents, vendors, and team members.
Essential Functions:
Financial Operations & Bookkeeping:
- Manage accounts payable and invoice processing for assigned communities.
- Oversee pre-close, close-out, and post-close cycles to ensure accuracy and timeliness.
- Review and reconcile resident ledgers daily; promptly address and resolve delinquencies.
- Handle eviction filings across properties, maintaining clear documentation and timely court submissions.
- Perform all Financial Move-Out (FMO) functions according to established guidelines.
- Collaborate with Community Managers to support budgeting, monthly reporting, and financial health monitoring.
Administrative Leadership:
- Manage administrative tasks, including vendor coordination, resident account corrections, scanning, filing, invoice tracking, and PO audits.
- Ensure consistent and accurate execution of administrative processes across all assigned assets.
- Act as the primary contact for process compliance, reporting support, and operational clean-up efforts.
- Maintain accurate records of journal entries, accrual tracking, and variance analysis.
- Ensure all software systems are utilized efficiently and accurately.
Resident Retention & Lease Administration:
- Assist with renewal tracking and follow-up communications to help achieve retention goals.
- Support adherence to policies related to notices, terminations, and renewal timelines.
- Respond to resident account inquiries and resolve escalations as necessary.
- Aid Community Managers in the implementation of resident retention initiatives.
Leasing Support:
- Provide leasing support during urgent or high-traffic periods or as needed.
- Maintain familiarity with leasing scripts, systems, and performance expectations.
- Help ensure leasing offices are prepared and maintain a professional appearance.
Other Responsibilities:
- Ensure professional appearance, adhering to the Office Career Apparel Guidelines and Appearance Standards.
- Complete all required training in LMS (Learning Management Software) as assigned.
- Maintain a professional image in the office by keeping it neat and clean and ensuring a clutter-free work environment.
- Maintain professional relationships with residents, team members, and vendors at all times.
- Participate in assisting another community in the market as required for operational support.
- Demonstrate the company’s core values consistently.
- Complete all additional tasks, projects, and responsibilities as assigned by the supervisor or company.
Skills and Experience:
- Strong organizational and multitasking skills.
- Effective communication and interpersonal abilities.
- Financial acumen with experience in rent collection and AP/AR processing.
- Detail-oriented with the ability to prioritize tasks efficiently.
- Knowledge of property management software and standard operating procedures.
- Familiarity with Fair Housing and other relevant regulations is a plus.
- Ability to work a flexible schedule as needed, based on staffing and property requirements.
- Ability to perform the physical functions of the position, which may include walking the property (up to 4 flights of stairs), conducting physical inspections, delivering resident communications, and showing apartments.

- Decision Making Authority: As a Multi-Site Assistant Community Manager, your role is to execute operational tasks and support the Community Manager. You are not authorized to spend money on behalf of the property or make financial decisions, including signing or approving contracts, offering concessions, or waiving fees, unless you have explicit, written approval from your supervisor. Your primary focus is to assist in executing the daily operations and ensure tasks are completed accurately and efficiently, while maintaining alignment with company policies and the Community Manager’s directives.
