The Lease Administrator is responsible for supporting the management of all lease/tenant information. The position will be part of a Lease Administration Team that is a sub-unit of the Company’s Legal department and will be responsible for the following essential functions, including but not limited to:
- Lease Abstracting, Auditing & Analysis:
- Read and interpret complex Real Estate leases (retail and office).
- Abstract all key terms and critical dates relating to lease into a defined format.
- Ensure all lease information is updated accurately, thoroughly and timely into accounting system.
- Run standardized lease reports to review for accuracy and work with accounting staff to make corrections as needed.
- Prepare detailed lease analysis as requested by various Company stakeholders.
- Conduct routine audits to ensure consistent accuracy of information.
- Tenant Account Reconciliations:
- Correspond with internal team and tenants regarding billing/invoice inquiries on such items as Utilities, HVAC, etc.; seek to quickly rectify outstanding items in order to support the collections process.
- Monitor Gross Sales Reporting consistently and coordinate with Accounting to bill any overage rent timely.
- Work with Accounting and Legal to resolve CAM, Tax & Insurance Reconciliations (quarterly or annually) in conjunction with lease language.
- Tenant Insurance Certificate Monitoring
- Abstract Tenant Insurance Requirements per lease language & ensure accurate information entered into Insurance Tracking System.
- Review Insurance Certificates to confirm all lease requirements are met.
- Monitor insurance certificate reports and notify stakeholders of missing or non-compliant certificates.
- Work to ensure tenant requirements meet any necessary lender requirements and that no gap exists in coverage by reporting differences and rectifying with stakeholders.
- Provide Property Management Support:
- Maintain electronic library of all lease contracts, amendments and correspondence in an organized file structure.
- Review Monthly Tenant Reports such as Rent Rolls, Critical Dates, etc., and confirm accuracy to Real Estate Managers and other stakeholders.
- Manage insurance claims to completion for incidents occurring on Company owned or managed properties.
- Work with other Company departments to provide information regarding leases, properties and tenants.
- Coordinates lease related communications with tenants.
- Other tenant related functions as needed.
- Performs other duties as assigned
Required Education and Experience:
- Associates degree required. Bachelor’s degree preferred.
- 2-4 related experience in Real Estate Industry.
- Strong Proficiency in all Microsoft Office Applications including Excel, Word and Outlook.
- Possess a detailed understanding of key lease terms and concepts in order to work independently.
- Must be a proficient communicator and listener.

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Position Type/Expected Hours of Work: This is a full-time position, and hours of work and days are Monday through Friday, 8:30 a.m. to 5:30 p.m. Occasional evening and weekend work may be required as job duties demand.
Travel: Travel is infrequent and primarily local during the business day, although some out-of-the-area travel may be expected.
