Job Summary:
The Personal Assistant will support the family with personal tasks, organizing day-to-day activities, and handling family-related matters. This role involves providing administrative assistance for personal projects and ensuring the familys schedule runs smoothly.
Essential Functions:
Schedule & Travel Management:
Manage personal calendars, appointments, and events for all family members.
Conduct daily check-ins with the CEO to review appointments and to-do lists, with in-depth weekly meetings as needed.
Coordinate all personal and business travel, including booking flights, accommodations, and creating detailed itineraries.
Drive the family to appointments, events, and other locations as needed, ensuring timely and comfortable transportation.
Family Support & Errands:
Handle personal errands, household tasks, and other family-related duties.
Hold monthly or as-needed meetings with the family to address family matters.
Clean out CEOs car weekly and maintain family spaces.
Arrange medical appointments, fitness routines, and assist with health-related tasks.
Administrative & Financial Support:
Assist with personal bill payments and financial organization.
Open, sort, and track personal mail, ensuring timely follow-up on actions.
Oversee the renewal process for essential documents (drivers licenses, passports, TSA, CLEAR, memberships, license plate tags, etc.).
Communication & Confidentiality:
Serve as the primary point of contact for family matters and effectively communicate with internal and external contacts.
Maintain a high level of confidentiality and discretion at all times.
Other Responsibilities:
Perform other duties as assigned by the supervisor.
Skills and Experience:
Proven experience as a personal assistant or in a similar role.
Excellent organizational and time-management skills.
Strong communication and interpersonal skills.
Ability to handle multiple tasks and prioritize effectively.
High level of discretion and confidentiality.
Proficiency with office software and scheduling tools.
